1. Introduction

This Refund and Cancellation Policy governs all products and services provided by OpenInfra Systems. By purchasing our products or services, you agree to the terms outlined below.

2. Service Cancellation

2.1 Consulting and Professional Services

Customers may request cancellation of consulting, implementation, migration, deployment, training, or professional services by providing written notice via email to [email protected].

  • Cancellation before commencement of work: Eligible for a full refund, less any applicable transaction or processing charges.
  • Cancellation after project initiation: Charges will apply for work completed up to the cancellation date. Any remaining balance may be refunded at the sole discretion of OpenInfra Systems.
  • Services delivered partially or fully are generally non-refundable.

2.2 Annual Maintenance Contracts (AMC) and Support Services

  • Support contracts may be cancelled with written notice.
  • Refunds for AMC or support services will be considered only for the unused portion of the service period and after deducting charges for services already rendered.
  • Any onboarding, setup, assessment, or deployment fees are non-refundable.

3. Software Licenses and Subscriptions

Software licenses, subscriptions, activation keys, digital products, and downloadable software are non-refundable once delivered, activated, provisioned, or accessed.

Subscription cancellations will prevent future renewals but do not entitle the customer to a refund for the current billing period unless otherwise agreed in writing.

4. Training Programs

  • Cancellation requests received at least 7 days before the scheduled training date may be eligible for a full refund.
  • Cancellation requests received less than 7 days before the training date may incur administrative charges.
  • No refunds will be issued for missed training sessions or no-shows.

5. Hardware and Third-Party Products

  • Hardware products supplied through OpenInfra Systems are subject to the manufacturer's warranty and return policies.
  • Refunds or replacements for hardware products will be processed only in accordance with the applicable vendor or manufacturer policies.
  • OpenInfra Systems is not responsible for warranty decisions made by third-party vendors.

6. Cloud Infrastructure and Managed Services

Charges for cloud infrastructure, virtual machines, storage, backup services, managed services, and resource consumption are generally non-refundable once provisioned or utilized.

Customers may request service termination at any time; however, charges incurred up to the termination date remain payable.

7. Refund Processing

  • Approved refunds will be processed using the original payment method whenever possible.
  • Refund processing may take 7–15 business days depending on banking and payment gateway procedures.
  • Transaction fees, taxes, government levies, and third-party charges may be non-refundable.

8. Exceptions

Refunds will not be provided in the following situations:

  • Change of mind after service delivery.
  • Customer-side incompatibility, configuration issues, or lack of required infrastructure.
  • Delays caused by customer dependencies, approvals, or third-party providers.
  • Services already rendered or substantially completed.
  • Violation of contractual terms or acceptable use policies.
